MIN / YOUR DATA

Terms of Use,
Data & Cookies

A clear guide to using the Mobility Innovation Network and understanding how your information is handled.

Last updated: 16 October 2026

01 / OUR APPROACH

Your data serves the network.

MIN uses information to operate the platform, connect mobility stakeholders and support the services you choose to use.

No sale of personal data

We do not sell or rent your personal data or provide private user records to unrelated third parties for advertising or commercial reuse.

Purpose-limited use

Personal data is used for platform services, requested communications, security and applicable legal obligations.

Privacy requests welcome

You can ask questions, correct your details or request deletion by contacting office@mobinexus.net.

We are committed to processing personal data in accordance with applicable data-protection law, including the General Data Protection Regulation (GDPR) where it applies. This page explains our approach; it does not request blanket consent for unrelated processing.

02 / USING MIN

Use the platform responsibly.

MIN supports professional collaboration, knowledge exchange and innovation in mobility. Keep your account details accurate, protect your password and share only material you are entitled to provide. Do not upload confidential information about other people, unlawful content, malware or unsolicited advertising.

You remain responsible for the content you submit. By submitting content, you permit MIN to store and display it as needed for the service and its intended audience. Public contributions and information you choose to share with other members should be prepared with that audience in mind. Contact us if you need to correct or remove a contribution.

Funding matches, AI responses, links and other recommendations are informational. Check original sources, eligibility and other relevant details before making decisions. Recommendations do not determine your legal rights or eligibility automatically.

03 / DATA AND PURPOSES

What information is used?

Data processed by MIN features
InformationPurpose
Account and contact detailsRegistration, activation, sign-in, password recovery and requested service communications. Registration includes your name, email, username and location/address fields. Passwords are stored as hashes.
Organisation profiles and preferencesMember discovery, collaboration, matchmaking and relevant opportunity notifications.
Messages and notificationsDelivering conversations to the intended participants, recording read status and sending service notifications.
Contributions and survey responsesDisplaying submitted resources, news, achievements and best practices, and supporting user-centred mobility research and project activities. Free-text responses should not include identifying or sensitive details about other people.
Session and technical informationKeeping sessions working, protecting forms, diagnosing faults and securing the service. Hosting systems may record connection information such as IP addresses and request times.

Processing must have an applicable legal basis. Providing requested account services, protecting the platform, meeting legal obligations and any specific consent requested for an optional activity are distinct purposes; consent to one purpose does not authorise unrelated use. Where consent is the basis, it may be withdrawn without affecting the lawfulness of earlier processing.

04 / VISIBILITY AND EXTERNAL SERVICES

Know who can see what.

Private account information is not offered as a public directory or distributed for third-party marketing. Member profiles and contributions are visible according to the feature in which you submit them. A private message is delivered to the participants you choose; recipients can retain or disclose information you send to them.

Technical services necessary to operate a website are different from selling or distributing user records. MIN pages currently request fonts and front-end libraries from Google Fonts, Google-hosted services, jsDelivr, cdnjs and, on some pages, other library providers. Map pages request tiles from OpenStreetMap. These requests can disclose technical connection information, such as your IP address and browser details, to those providers. Their processing and any international transfers are governed by their respective arrangements and privacy information.

Social icons are ordinary links, including the MobiNexus YouTube channel (opens in a new tab); no YouTube player or tracking embed is added by those links. Visiting a social network, Eventbrite registration or the external programme reader takes you to a separate service with its own terms and privacy practices.

Authorised hosting, email and technical administration may be necessary to provide the service. Private data must not be reused for those providers’ unrelated purposes. A disclosure may also be required by a binding legal obligation. These limited operational or legal situations should not be confused with public sharing or commercial sale of member data.

05 / AI AND RECOMMENDATIONS

Keep private information out of AI prompts.

MIN’s policy is to protect non-public personal data from AI exposure. Account credentials, password-reset and activation tokens, and private member-to-member messages are excluded from the platform’s RAG knowledge exporter. The configured assistant uses locally operated retrieval and model components rather than a public generative-AI API.

The assistant processes questions you choose to send and retrieves project knowledge. The assistant’s knowledge library can include organisation descriptions, member-visible news, service resources, best practices and empathy-map text. Some of this material is available only to signed-in members. Free-text contributions may contain personal information even when account records are excluded. Do not put confidential, sensitive or identifying information into an AI question or a contribution intended for automated processing. Contact the privacy team if such information needs to be removed.

AI output can be incomplete or incorrect. Use the cited sources and your own judgement, and do not rely on an AI response as a decision about a person’s rights or access to opportunities.

06 / COOKIES

Essential sessions, explained.

A cookie is a small value stored by your browser. MIN uses a session cookie to associate your browser with server-side session information.

First-party cookies identified in the application
CookiePurposeDuration
PHPSESSIDSession identification, authentication state, form-security tokens, temporary notices and request-limit state. Account details and messages remain server-side rather than being stored in this cookie.Configured as a browser-session cookie. The browser controls when a browsing session ends and may restore session cookies. Server-side session expiry is separate.

No first-party advertising or analytics tracking cookies are configured in MIN’s application. Hosting services, external resources and embedded services can behave differently, and a source-code review cannot establish every cookie set by a deployed server.

Strictly necessary cookies used to provide a service you request do not require the same consent as optional tracking. Project policy is not to use optional analytics, advertising or other non-essential browser storage on MIN.

You can inspect, delete or block cookies in your browser settings. Blocking the session cookie may prevent sign-in, form submission and other account features from working. Deleting a browser cookie does not delete your account or server-side records.

07 / RETENTION AND SECURITY

Keep only what is needed.

Personal data should be retained only for as long as necessary for the stated service, research or legal purpose. Account information, conversations, contributions, security logs and backup copies can have different retention requirements. Request an applicable retention period or account deletion from the privacy contact below; server-side records are not automatically deleted just because a browser session ends.

Access controls, password hashing, form-security tokens and restricted administrative access help protect the platform. Protect your sign-in details, avoid sharing sensitive information unnecessarily and report suspected account misuse promptly. No online system can guarantee absolute security.

08 / YOUR RIGHTS

Stay in control.

Where the GDPR applies, you may request access to your personal data, correction of inaccurate data, erasure, restriction of processing and, where applicable, portability or objection to processing. Where processing depends on consent, you may withdraw it. These rights are subject to the conditions and exceptions in applicable law.

Send requests to office@mobinexus.net. We may need proportionate information to verify your identity; do not email your password. GDPR requests are normally answered within one month, with any permitted extension and its reason communicated to you. You may also lodge a complaint with a competent data-protection supervisory authority.

For the legal framework, see the GDPR (opens in a new tab) and the EU guidance on cookies (opens in a new tab).
